How It Works

How private club hospitality software turns member data into member recognition

Knownly reads the systems your club already runs — tee sheet, point of sale, reservations, membership records — recognizes which member is on property, and tells the right staff member exactly what to do next. Four layers: segments, experiences, playbooks, execution.

Not a system of record. A system of action.

How club automation works, end to end

Four layers turn POS, tee sheet, and reservation data into anticipatory action.

    Arrival Walkthrough

One member arrival, step by step

This is the full path a single arrival takes through Knownly — which system produced the signal, which staff member acted, and what the member experienced.

    1. T‑18 hrs

      Tomorrow's arrivals are known

Knownly reads the next day's bookings and matches each name to a member record — visit history, spend pattern, stated preferences, who they usually arrive with. Members who qualify for a segment are enrolled before the morning shift meeting.

      Approach detected

The member crosses the property perimeter. Knownly confirms identity against the expected arrival, notes which entry they used, and starts the arrival experience for that member only.

The right staff member is told what to do

One task, one owner, one instruction: reserve the usual table, pour the usual drink, greet by name, mention the anniversary. No group broadcast, no shift-wide guessing about who has it.

Context follows the member across the property

Movement from the course to the grill room hands the next staff member the same context the last one had. Purchases update the member's Always / Sometimes / Never buying pattern as they happen.

      Follow‑through, then the loop closes

A thank-you goes out only where consent exists. Anything that was queued and never completed surfaces in Reports as a service gap, attributed to a role and a shift — not lost.

    Common Questions

    How it works, answered plainly

The questions General Managers ask once they have seen the arrival walkthrough.

How does private club hospitality software recognize a member on arrival?

Recognition needs three inputs: identity, presence, and ownership. Knownly matches tomorrow's tee sheet, dining, and court bookings to member records overnight. On the day, a geofence entry, gate scan, or valet check-in confirms the member is on property. That presence signal is matched to the member record and routed to the role responsible for the next action — so the greeting is an instruction on someone's phone, not a memory test.

Does Knownly replace our club management system?

No. Your club management system, point of sale, and tee sheet stay exactly where they are. Knownly reads from them and adds the layer above: deciding what should happen next and telling a named staff member to do it. Nothing is migrated out of your system of record.

What does a staff member actually receive?

One task, one owner, delivered by text message with a link. The link opens a mobile web page with the member's name, the specific instruction, the location on property, and a single button to mark it complete. There is no app to install and no login to remember, which matters when a seasonal roster turns over.

What happens when a task is never completed?

It does not disappear. Anything queued but not delivered surfaces in Reports as an attributed service gap, showing the member, the role that owned it, and how long it sat. Idle and incomplete work is separated from work that was never covered by any role at all, so a General Manager can tell a staffing problem from a coverage problem.

    Do members get messaged automatically?

Only with consent, and only when a rule says so. Consent is captured at opt-in and checked before every send. Every message is logged against the member's timeline alongside the staff action it followed, so the record of what the club said and did is one chronological story.

How long does it take to see the first arrival work end to end?

The first configuration is one property, one arrival path, and one role. We map your endpoints — gate, pro shop, dining room, dock, front desk — and model a single arrival experience on your own property so you can watch the loop close before anything is rolled out club-wide.
